Steps to share a folder in Google Drive

  1. Single-click on the folder you want to share. This will select the folder.
  2. Click the share button from the toolbar. Or, right-click on a folder and select share.
  3. Type the google email address of the person you want to share with. Frequently contacted people will auto-populate when you type their names.
  4. Select the permission from the drop-down next to the name. Your options will be Viewer Commenter or Editor.
  5. The Notify people option is selected by default. This will send the person an email letting them know they can access your folder.
  6. Type an optional message to the person. This is only available when the notify option is selected. The message is included in the notification email.
  7. Click the blue Send button to finish sharing your folder.

Google Drive PermissionsBy default, you are the owner of all files and folders in your Google Drive. There are three permission levels you can assign to others when you share files or folders.

  • Viewer: The person can only view your folders and files within them.
  • Commenter: They can add comments to your files. Comments show up in the margins of your files. They will not be able to edit the main parts of your files.
  • Editor: This permission allows them to organize, add, and edit your files.

You can see what folders are shared by the person icon over the folder. Change share settings by right-clicking on a shared folder and selecting Share. Change the permission using the drop-down next to their name. Then, click the Save button to commit your changes.

Share folder with a public link

Public links are used to share your folder with anyone on the internet. Use view permission to create a read-only place to publish documents. Edit permission allows anyone with the link to add, edit, and remove files. So, be careful to share this link with people you trust.

Steps to create a public link to a Google Drive Folder

  • Right-click on the folder you want to share.
  • Select Get Link from the pop-up menu.
  • Click on Anyone with the link and select who can access your folder.  Your options will be Restricted, Anyone with the link, or members of your organization.  The organization option is only available for school or business accounts.
  •  Click on Viewer to change the permission to your folder.
  • Click Copy link to copy the link to your computer clipboard.  Then, you can paste the link into an email or another document.
  • Finally, click Done to close the window.

  • Nested folders may take more time to share or un-share. You may notice a delay after making large changes.
